Getting Started
Welcome to Weqly! This guide will help you set up your account and get started with scheduling your team.
What is Weqly?
Weqly is a scheduling and workforce management tool that helps you:
- Schedule shifts for your team members
- Track leave requests and balances
- Manage team assignments and roles
- Handle shift trading and coverage
- Organize your workforce with teams and workspaces
Creating Your Account
New to Weqly?
- Go to the registration page at
/register - Fill in the following information:
- Workspace name - Your company or team name
- Your name - Your full name
- Email address - Your business email
- Password - Create a secure password (at least 8 characters)
- Confirm password - Re-enter your password
- Click "Register"
You'll automatically become the Owner of your new workspace, giving you full control over all features.
Invited to Join an Existing Workspace?
- Check your email for an invitation from your team
- Click the "Accept Invitation" link in the email
- If you already have a Weqly account, log in to join the workspace
- If you're new to Weqly, create your account with your name and password
- You'll automatically join the workspace
Email Verification
After registering, you'll receive an email verification link. Click it to verify your email and unlock all features.
Understanding Workspaces
A workspace is your organization in Weqly. Each workspace contains:
- Your team members
- Teams and their members
- Schedules and shifts
- Leave types and balances
- Billing information
Multiple Workspaces
You can belong to multiple workspaces! For example:
- You might manage your company's main workspace
- And also belong to a volunteer organization's workspace
Each workspace is completely separate with its own teams, schedules, and settings.
Your Dashboard
When you first log in, you'll see your workspace dashboard with:
- Upcoming shifts - Your scheduled shifts for the next 7 days
- Quick actions - Create shifts, invite team members, book leave
- Navigation menu - Access all features from the sidebar
Key Concepts
Users
Anyone with a Weqly account. Users can belong to multiple workspaces.
Teams
Groups of users within a workspace. Teams help organize your workforce and manage schedules.
Schedules
Collections of shifts for users or teams. Each schedule can have one-time or recurring shifts.
Shifts
Scheduled work periods with start and end times. Shifts can be assigned to specific users or entire teams.
Leave Types
Categories of time off like vacation, sick leave, or personal days. Each workspace defines its own leave types.
User Roles
Within a workspace, users have different access levels:
| Role | Description |
|---|---|
| Owner | Full control over all workspace features |
| Admin | Can manage most features, but needs approval for some actions |
| Member | Standard access to schedules and requests |
| Team Manager | Can approve requests for teams they manage |
Setting Up Your Workspace
Step 1: Complete Your Profile
- Click your name in the top-right corner
- Select "Settings"
- Add your profile picture
- Set your timezone preference
- Configure notification preferences
Step 2: Create Your Teams
- Go to "Teams" in the navigation menu
- Click "Create Team"
- Enter a team name
- Choose visibility:
- Public - Visible to all workspace members
- Private - Only visible to team members
- Click "Save"
Step 3: Invite Team Members
- Go to "Teams" and select a team
- Click "Invite Members"
- Enter the email addresses of people you want to invite
- Assign their role (Member or Manager)
- Click "Send Invites"
They'll receive an email with a link to join your workspace.
Step 4: Set Up Leave Types
- Go to "Manage" in the navigation menu
- Click "Leave Types"
- Create leave types for your organization:
- Name (e.g., "Annual Leave", "Sick Leave")
- Color - Choose a color for the calendar
- Days per year - How many days each user gets
- Carry over - How many unused days roll over to next year
- Click "Save"

Q: Can I change my workspace name later?
A: Yes! Go to "Manage" and edit your workspace details. You can also change the URL slug (the part after the domain name).
Q: What if I made a mistake during registration?
A: You can update most information in your settings. Workspace owners can edit workspace details.
Q: How many workspaces can I create?
A: There's no limit! You can create as many workspaces as you need.
Q: Do I need to verify my email?
A: Yes, email verification is required to access all features.
Q: Can I use Weqly on my phone?
A: Yes! Weqly is fully responsive and works great on mobile devices. Though for managers we recommend using desktop for a comfortable experience.
